Receptionist / Administrative Assistant
Position Summary:
Welcome visitors and answer incoming calls in a warm, pleasant, friendly and professional manner. Provide administrative support to Public Relations and Support Center team. Must be an excellent writer that can deliver high quality content. Maintain a clean and neat reception area, handle specific resident services, and seek administrative support as needed.
Primary Responsibilities:
Possess and maintain knowledge of all communities and services provided.
Answer incoming calls, both internally and externally, in a warm, pleasant and professional manner.
Respond to all calls following proper telephone etiquette and taking detailed messages when appropriate.
Ensure that messages are relayed promptly to the intended person.
Greet all visitors and employees in a warm and helpful manner.
Ensure that the reception areas are clean, neat and inviting.
Offer refreshments to visitors and make them feel welcomed and comfortable.
Assist with other duties as assigned.
Coordinate appointments as necessary.
Receive and distribute daily mail delivery timely and to the appropriate recipient.
Maintain and order all office supplies as needed.
Ensure common areas of office are tidy and clean.
Public Relations/Communications
Prepare and distribute corporate communications for internal and external audiences, including press releases and facility newsletters.
Assist with event planning and coordination as needed.
Support company awareness campaigns through internal and external media sites.
Support local media outreach for community events and announcements.
Report to Marketing Director to ensure a cohesive social media identity.
Create and maintain relevant social media accounts.
Keep track of and report social media trends.
Excellent customer service skills
Good organizational and time management skills
Mature, cheerful personality
Desire to work with and serve senior adults
Knowledge Requirements:
Associate's Degree in related field preferred
Professional communication skills including social media
Telephone etiquette and customer service
Any additional required training
